This Privacy Policy explains how ResetNYC ("we," "us") collects, uses, and protects personal information when you use our website and mobile application (the "Service"). By using the Service, you consent to the practices described here.
1. Information We Collect. We collect account information (name, email, phone), property details, building access instructions, scheduling data, photographs, payment references (processed by Stripe; we do not store full card numbers), location data when you enable it, and communications with our team. We also collect usage and device information automatically, such as IP address and browser type.
2. How We Use Information. To facilitate and schedule bookings, assign cleaners, process payments, communicate about appointments, verify identity, resolve disputes, maintain safety and quality, comply with legal obligations, and improve the Service. We never sell your personal information.
3. Cookies & Tracking. We use cookies and similar technologies for authentication, remembering preferences, and analytics. You can control cookies through your browser settings; disabling them may limit some features.
4. How We Share. We share information only as needed to operate the Service: with the assigned cleaner or partner company (limited to what is required to perform the job), with payment and infrastructure providers under their terms, and when required by law or to protect rights and safety. Access details are restricted per the controls below.
5. Third-Party Processors. We use Stripe for payment processing. Stripe receives payment data directly and processes it under its own privacy and security standards. We receive a payment reference, not your full card number. Other providers (analytics, hosting) process limited data under data-processing agreements.
6. Access Controls. Cleaners only see property access instructions for active, assigned bookings. Access is automatically revoked after reassignment, cancellation, or completion plus a configured retention period. Internal notes, scores, and risk flags are never visible to customers or cleaners.
7. Sensitive Data. Access codes, entry instructions, government IDs, and tax documents are restricted to authorized users. Background-check data is handled by our screening vendor under applicable law.
8. Photographs. Job photographs are used for quality assurance and dispute resolution and are not made public. Customers may restrict photography in approved private areas, and photo visibility is governed by the booking's photo-visibility setting.
9. Data Security. We use administrative, technical, and physical safeguards designed to protect personal information. No method of transmission or storage is completely secure, but we work to protect your information consistent with industry practice.
9a. Data Breach Notification. In the event of a breach of the security, confidentiality, or integrity of your personal information — as defined under the NY SHIELD Act and applicable breach-notification laws — we will notify affected individuals as required by law, as promptly as practicable and consistent with any law-enforcement or investigative needs. Notice may be provided by email, mail, or other method required by law, and will describe the nature of the breach, the types of information involved, and steps you can take to protect yourself.
9b. Automated Decision-Making & AI in Hiring (NYC Local Law 144). ResetNYC uses automated employment decision tools ("AEDTs") — software that employs machine learning, artificial intelligence, and statistical modeling — to substantially assist in evaluating applicants for cleaning positions. Specifically, AEDTs are used to: (a) screen submitted applications and generate a preliminary qualification verdict (auto-approve, manual-review, or reject) with a confidence score; (b) transcribe recorded interview answers (given on video or as a voice note) and generate per-response scores (1–5), an overall hiring recommendation, and written feedback; (c) conduct reference checks via an AI voice agent that places calls to provided references, records the conversation, and generates a transcript, summary, and sentiment assessment; and (d) verify uploaded identity documents and compare the face on a government ID to a live-captured selfie for fraud prevention. The job qualifications and characteristics these tools assess include years of experience, cleaning specialties, availability, service-area coverage, transportation method, insurance status, references, responses to recorded interview questions, and the substance of reference calls. A human recruiter reviews AEDT outputs before any hiring or rejection decision is made; the tools substantially assist but do not replace human discretion. Applicants who reside in New York City have the right to request an alternative selection process or a reasonable accommodation, and to request information about the data the AEDT collected about them and how it was used, by contacting us at hello@bookresetnyc.com. A summary of the most recent independent bias audit of each AEDT is available on request and is retained for at least six months after the tool's last use. AEDT-derived scores, recommendations, transcripts, and feedback are retained for the duration of the application and for the legally required retention period thereafter, and are accessible only to authorized recruiting and administrative staff.
10. Data Retention. We retain records for operational, accounting, tax, and legal purposes as required by law. Removing a visible item from your dashboard does not delete legally required records. Tax records such as W-9s and 1099s are retained per IRS retention rules.
11. Your Privacy Rights. Subject to applicable law, you may request access to, correction of, or deletion of your personal information, and in some regions you may request data portability. California residents (CCPA/CPRA) may know what personal information we collect, request deletion, and opt out of any "sale" or "sharing" of personal information. Because we do not sell or share personal information for cross-context behavioral advertising, no opt-out is needed; you may still contact us with requests.
12. Do Not Sell or Share. We do not sell your personal information, and we do not share it for cross-context behavioral advertising. This notice satisfies CCPA/CPRA "Do Not Sell or Share My Personal Information" requirements.
13. International Users. The Service is directed to users in the United States. If you access it from outside the U.S., your information is processed in the U.S. and subject to U.S. law. Where the GDPR applies, we process data on the basis of the contract with you and our legitimate interests in operating the Service, and you may exercise your rights by contacting us.
14. Children's Privacy. The Service is not directed to children under 18, and we do not knowingly collect information from them. If you believe a child has provided information, contact us for deletion.
15. Communication Preferences. You control your marketing, SMS, and email consent in your profile settings and may unsubscribe from marketing at any time. Transactional messages about your bookings cannot be disabled.
16. Changes. We may update this policy from time to time and will post the effective date above. Continued use after changes constitutes acceptance.
